An appointment type defines what can be booked — for example, "Property visit" or "Video consultation": how long it lasts, how much notice it needs, who handles it, on what schedule and which WhatsApp messages the customer receives. The AI agent and your booking page only offer types that exist and have members and a schedule set up.
Create an appointment type
- 1
Open Appointment types
In Calendars, open Appointment types in the toolbar and click New type.
- 2
General tab
Fill in the type's details (see the table below). - 3
Members
Select the members eligible to receive this type of appointment. With no members, nobody can receive appointments of this type.
- 4
Schedule tab
Set the days and hours it can be booked. With no availability set up, the type can't be booked. See Team availability.
General tab fields
| Field | What it's for |
|---|---|
| Name and Color | How it looks in the calendar |
| What is this appointment for? | The agent uses it to pick the right type, and it's shown on the booking page (160 characters max) |
| Duration (min) and Buffer (min) | How long it lasts and the gap between appointments |
| Video call | Include Google Meet link on every appointment |
| Minimum notice (min) | The least notice needed to book. Even if left empty, nothing under 15 minutes away is offered. If both the type and the person set a minimum, the larger applies |
| Allow same-day appointments | When off, the earliest offer is tomorrow (appointments you book by hand aren't affected) |
| Allowed spaces | The rooms, vehicles or resources it can use. See Spaces and blocks |
| Who can book | Clients, Staff only or Clients & staff. Staff-only types don't show on the public page |
| Whose time is stated | The venue's time (in-person visits) or The customer's time (video calls) |
| Agent | Which agent offers this type (only if you have more than one agent) |
The type's WhatsApp messages
- Confirmation message — an approved template sent before the appointment. See Confirmations and reminders.
- Post-sale message — a template sent automatically when someone on the team marks that the customer attended. You choose the delay (minutes, hours or days) and, optionally, a funnel stage the chat moves to.
Both messages are Meta-approved WhatsApp templates. If you don't have one, use Create template from the same form. See Templates and the 24-hour window.
The type's breaks
After saving the type, you can add breaks: slots within the schedule where no appointments are booked (lunch, for example).
