Team members, roles and permissions

Invite your advisors to watsi, give them a role and decide what each one can see and do, including whether they see only their own prospects or the whole workspace.

In watsi, everyone at your agency signs in with their own account and a role that defines what they can do. You invite your advisors by email from Settings → Team, and under Roles you decide each role's permissions and whether it sees all the workspace's data or only its own. There are three default roles — Owner, Admin and Member — and you can create custom roles.

Open team settings

Open your workspace settings with the watsi logo at the top of the sidebar, with Settings in the top menu, or by typing "Settings" in the command menu (⌘K). That's where the Team and Roles tabs are.

Invite a member

  1. 1

    Open Team

In settings, go to the Team tab and click Invite collaborator.

  2. 2

    Enter the email and role

Type the person's email and pick their Role (Member by default). Click Send invitation.

  3. 3

    The person accepts

They get an email with the link. When they open it they see You're invited! and can create their account with a password or continue with Google or Apple.

Invitations show up under Pending invitations with their sent and expiry dates. An invitation expires after 7 days; you can Revoke invitation at any time. If the email couldn't be sent, watsi tells you and you can share the invitation link directly.

By default only owners and admins can invite. If your workspace reached its seat limit, you'll see a message asking you to remove a member or ask support to raise the limit.

Manage members

From the Team list you can:

  • Change the role of a member.
  • Deactivate a member: they stay on the team but can't access the workspace. Turn them back on with Reactivate.
  • Remove member: they lose access to this workspace.

You can't deactivate your own account or the last admin.

Default roles

RoleWhat it can do by default
OwnerEverything. Always has every permission and can't be edited. The only one who can change or cancel the plan.
AdminEverything except deleting the workspace. Sees all data.
MemberReply in conversations and teach the agent from a chat. Sees only their own data.

Custom roles and permissions

In the Roles tab ("Roles & permissions") you set what each role can do.

  1. 1

    Create the role

Click New role. Enter the Key (lowercase letters, numbers, hyphens and underscores; it can't be changed later), the Name and a Description. Click Create role.

  2. 2

    Pick the data scope

All data sees the whole workspace. Own data sees only the contacts and conversations assigned to that person or that they observe.

  3. 3

    Check the permissions

Permissions are grouped: Team, Workspace, Channels & integrations, AI Agent, Conversations, Contacts, Calendar, Sales, Billing, Dashboard and more. For example: View all conversations, Reassign conversations, Send campaigns, Import contacts or Manage billing.

Custom roles carry the Custom label. If you delete a role, its members will need to be reassigned.

For a team of advisors where each one works their own prospects, use a role with Own data and keep View all conversations for whoever coordinates.

Team schedules

Each advisor's availability (the days and hours they take appointments) is set under Calendars, in each member's availability. Those schedules are also used to assign prospects based on who's available.

Frequently asked questions

Can each advisor see only their own prospects?

Yes. Every role has a data scope, "All data" or "Own data". With "Own data", the advisor only sees the contacts and conversations assigned to them or that they observe.

How long does an invitation last?

An invitation expires after 7 days. If it expires, revoke it and send a new one from the Team tab.
